Manning's School is one of the nation's oldest Jamaican High Schools. It is one rich in tradition of excellence in both academic learning and extra-curricular activities, and testament to such is borne out by the many notable alumni and outstanding students in various professions.

Many of us who attended the school,  are forever  grateful for the experiences gained  there. It was those experiences which helped to mould us into the persons we are today.

In the 1950's and 1960's the school had less than 500 students. Today we are fast approaching 2000. Because of this growth in student body, increase of staff and the necessary expansion in infra-structure  it is not surprising that with limited government financial input the school has great difficulty in meeting its bills.

Our main objective is to get our school and its programs out of the danger of collapsing and enable it to continue to successfully function by alleviating the annual deficits faced.

It is with this awareness of such stark  reality that our Alumni Association has embarked on an aggressive fund-raising  campaign. 

 

FUNDRAISING for Manning’s - Policies and Processes

 

Aim: Commonsense response to our donors’ concerns.

Implementation of policies and processes that provide solutions to the past students, other supporters and potential supporters of Manning's that lead to meaningful fund-raising. 

Our Policies embrace the implementation of OPENNESS, TRANSPARENCY, EASE of ACCESS to INFORMATION and RESPECT for the DONOR.

 

MPSA-S.FL responsibilities –

1. Banking

a)  Account solely for FUNDS RAISED FOR MANNING'S.

That is, any other account or accounts for operations of the MPSA-S.FL Chapter shall not have a commingling of funds with the proposed "FUNDS RAISED FOR MANNING'S".

b) The signers on the account shall be MPSA-S.FL: President (currently Cosmond Vaughan), Vice-President (currently Delroy Wallace), Treasurer (currently Jean Bowes-Taylor) and Assistant Treasurer, (currently Laurette Dunn).

 

c) No funds from the account are to be withdrawn save by direction and command of the MPSA-S.FL Board on approved resolution as per mandated by the MPSA-S.FL By-Laws. 

 

2) Approval process -

a) On the Board of the MPSA-S.FL Chapter’s approval of funding a “Letter of Commitment” to fund shall be issued to Manning’s school.

In the “Letter of Commitment” there shall be clear statement or statements on:

-          The MPSA-S.FL Chapter having approved the project or event;

 

-          The dollar amount of funding;

 

-          How the funds will be delivered to Manning’s;

 

-          When the funds shall be delivered to Manning’s.

 

b)

"Letter of Commitment" to fund and other regulations adhered to.

3. Accountability

a) Issuance of receipt to each donor on and for each contribution.

 

b) "Thank you" letter generated and sent to each donor on contribution.

3. Transparency

The List of Donors and Contributions are available on website for scrutiny by the individual donor and all others.

NB: Some donors may wish to contribute using the designation, “Anonymous”. For record keeping, accountability and integrity each “Anonymous” donor shall be designated a unique number. Examples could be “Anonymous #0001”, “Anonymous #0002” and so on. This allows for the individual donor being able to identify and keep track of his or her contributions as being properly and accurately recorded. This also assists the MPSA-S.FL Chapter to accurately record and tabulate each donor’s contribution.

 

4. EASE of ACCESS to INFORMATION

 -      Financial Statements inclusive of Bank Statements, Project Documents, Vouchers, Receipts and Communications with Manning's posted and available on our website - www.manningssfl.com - (Master copies filed by MPSA-SFL digitally.)

 

 -      Regular quarterly updated reports circulated or otherwise made available to all by circulate email and the website, www.manningssfl.com.

Joint Manning’s/MPSA-S.Fl Chapter co-operation

Previous to FUNDRAISING the following was agreed with the Headmaster and authorities at Manning's:

- How requests for funding shall be presented by Manning's and accepted by MPSA - S. FL, that is,

                   communication of REQUEST FOR FUNDING with attached supporting documents from Manning’s, 

 

                   acceptance of REQUEST FOR FUNDING by MPSA – S.FL Chapter.

 

NB:

i)                    Example of supporting documents would be: outline of need - HOW, WHY, WHEN; budget(s), photographs, others.  

 

ii)                  After MPSA-S.FL’s acceptance and approval of REQUEST FOR FUNDING there shall be forwarded "Letter of Commitment" to Manning’s.

 

Mechanism for MPSA-S.FL delivery of funds:

NB:

-          No cash delivery of funds

-          As per decided by MPSA-S.FL Board in consultation with Manning's.

 

Some transfer methods examples:

-          Electronic Bank Transfer to specific established Manning's Account;

-          Bank Draft/CERTIFIED CHECK drawn to specific established Manning's Account sent by international courier service. 

 

Receipt of funds by Manning's - Acknowledgement of same on funds becoming available to Manning's.

NB: No additional funds shall be delivered by MPSA-S.FL to Manning's without an acknowledgement of previous sums delivered and conformation to the accepted protocol concerning use of same.  

-          Reports on success or failure of project or use with supporting documentation for display to donors/contributors and non-contributors must be sent by Manning’s to MPSA-S.FL.

 

-          MPSA-S.FL shall make determination on whether a request is funded with one transfer of funds or staggered transfers. 

 

APRECIATIONMust be included as vital component of Letters and Reports and in verbal communication with donors and supporters.

Examples: The following could be standard terms used:

   -  The MPSA-S.FL Chapter appreciates your support for its FUND-RAISING EFFORTS and your contribution to Our Dear Manning’s School.
